DEPARTMENT OF STATIONERY AND ARCHIVE

The Department of Chancery and Archives is part of the university and operates under the direct supervision of the rector.

The Department of the Chancellery performs the following main functions:

Registration, reproduction, delivery, storage of internal and external organizational orders, orders related to the activities of the University;

Registration of official correspondence, information documents, incoming and outgoing letters and correspondence (correspondence) addressed to the heads of the University (rectors and vice-rectors), mailing to specialized departments, replies to addressees;

Provides the necessary copies of documents on demand, destruction of expired documents on the basis of acts.

The archive is part of the structure of the university apparatus and is under the direct control of the rector in accordance with the approved organizational structure for the academic year. The archive is headed by the head of the archive, hired by the order of the rector. The archive includes the positions of the head of the archive, archivist in accordance with the approved staffing table. The head of the archive and archivists work there on the basis of job descriptions approved by the rector.

The archive performs the following main functions:

The Archives of the University of Geological Sciences prepares organizational documents for admission, registration, sorting, use and deposit by the state;

Provides stock serial numbers to documents received in the archive;

Organizes an examination to determine the scientific and practical value of documents stored in the archive, provides methodological assistance in the examination of the value of documents in the office process;

Prepares documents for state storage and submits them within the time limits established by the Regulations on the National Archival Fund of the Republic of Uzbekistan;

Organizes the use of documents and, in accordance with the established procedure, provides certificates, extracts and copies of documents to both interested organizations and citizens;

Participate in the development of regulatory and methodological documents for working with documents in archives and office work (instructions, recommendations, regulations, lists of documents with storage periods, etc.) Taking into account the specifics of the organization, the adopted documents are coordinated with the bodies and institutions of the Unarchive Agency under the Cabinet of Ministers of the Republic Uzbekistan.
